Printer Not Working? Troubleshooting Guide for Edinburgh Users

Printers have a reputation for failing at the worst possible moment — right before an important meeting, a school deadline, or a job application. If your printer isn't working in Edinburgh and you need it sorted quickly, this guide covers the most common causes and how to fix them, whether you're using a wireless inkjet at home or a wired laser printer in a small office.

1. Start With the Basics

Before diving into settings and drivers, run through a quick checklist. Many printer faults have surprisingly simple causes:

  • Power and cables: Is the printer switched on and fully booted? Is the USB cable firmly seated at both ends, or is the printer connected to the correct Wi-Fi network?
  • Paper and ink: Check the paper tray is loaded correctly and that ink or toner levels aren't critically low. Many printers refuse to print anything once a cartridge hits empty.
  • Restart everything: Turn off the printer, your PC, and — if using a wireless printer — your router. Wait 30 seconds, then power them back on in order: router first, then printer, then PC.

It sounds obvious, but a simple restart fixes a surprising number of printer issues by clearing temporary errors in the printer's memory and re-establishing connections.

2. Printer Shows as Offline

"Printer offline" is one of the most common errors in Windows 10 and Windows 11. Even though your printer is physically switched on, Windows refuses to send jobs to it. Here's how to fix it:

  1. Open Settings > Bluetooth & devices > Printers & scanners.
  2. Click your printer, then select Open print queue.
  3. In the print queue window, click Printer in the menu bar and make sure Use Printer Offline is not ticked.
  4. If it is ticked, uncheck it and try printing again.

If the printer keeps flipping back to offline, the issue is usually a communication problem between Windows and the printer. For wireless printers, check your Wi-Fi connection is stable — our Wi-Fi troubleshooting guide can help if your network is the root cause.

3. Print Jobs Stuck in the Queue

Sometimes jobs get stuck in the print queue and block everything else from printing — even after you've cleared the visible queue. To force-clear it:

  1. Press Windows + R, type services.msc, and press Enter.
  2. Find Print Spooler, right-click it, and select Stop.
  3. Open File Explorer and navigate to C:\Windows\System32\spool\PRINTERS.
  4. Delete all files inside that folder (do not delete the folder itself).
  5. Go back to Services, right-click Print Spooler, and select Start.

This clears any corrupted print jobs and usually resolves persistent stuck-queue issues immediately.

4. Wireless Printer Won't Connect

Wireless printers are convenient, but they can lose their network connection after a router restart, a firmware update, or simply being moved slightly. If your wireless printer is no longer found on the network:

  • Check the printer's own display panel to confirm it's connected to your Wi-Fi network (not a neighbour's or a guest network).
  • Print a network configuration page from the printer's settings menu — this shows the IP address it's been assigned.
  • If the IP address has changed, remove and re-add the printer in Windows settings so it points to the new address.
  • Consider assigning the printer a static IP address via your router's DHCP reservation settings — this prevents the IP from changing every time the router restarts.

Our networking and Wi-Fi service can help if you need assistance configuring your home or office network for reliable printer access.

5. Driver Problems on Windows

Outdated or corrupted printer drivers are a common cause of printing failures following a Windows update. The fix is to remove the existing driver completely and reinstall a fresh copy:

  1. Go to Settings > Bluetooth & devices > Printers & scanners, select your printer, and click Remove.
  2. Open Device Manager, expand Print queues, right-click your printer, and select Uninstall device. Tick the box to remove the driver software too.
  3. Visit your printer manufacturer's website (HP, Epson, Canon, Brother, etc.) and download the latest full-feature driver package for your exact printer model and Windows version.
  4. Run the installer and reconnect your printer when prompted.

If you're not confident removing and reinstalling drivers, our software troubleshooting service covers printer driver issues as part of a general software fix.

6. Poor Print Quality

If your printer is working but the output is streaky, faded, or blotchy, the issue is usually with the ink or toner rather than the software:

  • Inkjet printers: Run the printer's built-in head cleaning utility (usually found in the printer's settings or maintenance menu). If the nozzles are badly clogged, you may need to run it two or three times. Let the printer rest for an hour between cycles.
  • Laser printers: Remove the toner cartridge and gently rock it side to side to redistribute the toner. If it's genuinely empty, replace it. Streaks caused by a damaged drum unit require the drum to be replaced.
  • Check paper type: Using the wrong paper (too thin, too rough, or glossy paper in a printer not designed for it) can cause smearing and poor output.

When to Call a Professional

Some printer problems go beyond software fixes. If your printer is making grinding or clicking noises, has a mechanical paper feed problem that keeps recurring, or shows error codes that don't clear after a factory reset, the hardware itself may need attention.
